City Care Lab

The Problem

City Care Lab's bottleneck wasn't demand. It was operations. Lab reports were compiled and delivered by hand, staff schedules were coordinated over phone calls and spreadsheets, and there was no online way for a patient to book a test or check a result. The common mistake I see with labs like this is treating each of those gaps as separate problems. They're not. Manual report handling means slower turnaround and more transcription errors. Manual scheduling means staff time goes to logistics instead of lab work. And on the public side, no consistent presence means growth depends entirely on walk-in traffic and referrals, which is a fragile way to run a diagnostics business.

Our Approach

We began with a consultation to map every internal workflow, report generation, staff scheduling, patient intake, before writing a single line of code. A lab platform built on assumptions instead of the real bottlenecks just moves the same paperwork online without actually fixing anything. From that mapping we built a custom web application covering staff scheduling, digital report handling, and patient tracking, replacing the manual, phone-and-spreadsheet process end to end. We then added online appointment booking so patients could book tests without calling in, plus a social media automation tool so the lab could keep a consistent public presence without hiring a dedicated marketer. We still manage that social presence today as an ongoing engagement.

Architecture & Tech Stack

The application runs on Laravel, with a Node.js and Express.js service handling background processing, a Vue.js frontend styled in Tailwind CSS, and MySQL as the primary store for staff, patient, and report records. Firebase powers real-time status updates, so staff can watch report and booking states change live instead of refreshing a page. The system is deployed on AWS, with GitHub for version control. Lab report data is sensitive, so access control and audit logging went into the data layer from day one. Retrofitting that kind of thing later is expensive and honestly a little scary, so we built it in from the start.
